1. Scope and privacy controller
This policy applies to VehicleProof, including its iOS and Android applications, API, account services, private media storage, reports and support pages. TechKangaroos is responsible for the personal information described in this policy.
VehicleProof is a record-keeping service that helps vehicle hosts and drivers manage bookings, document vehicle condition, share rental evidence and produce inspection and agreement reports.
2. Information we collect
| Category | Examples | Why it is needed |
|---|---|---|
| Account and identity | Apple account identifier, name, email address or Apple private relay email, app user ID, selected Host or Driver role and authentication session. | To create and secure your account, restore your session and associate records with the correct user. |
| Driver profile | Driver name, phone number, address, date of birth, gender, nationality, licence type, licence country, licence expiry, profile photos and remarks about claims, accidents or licence suspension. | To create a driver profile and share relevant eligibility and contact information with a host when the driver requests a booking. |
| Host profile | Host name, business name, contact name, website, profile icon and host code. | To identify a host, connect drivers using a host code and operate host rental workflows. |
| Vehicle and booking records | Vehicle name, make, model, year, registration, VIN or chassis number, colour, odometer, fuel type, transmission, pickup address, notes, listing photos, availability, booking dates, status, check-in frequency and return remarks. | To list vehicles, accept booking requests and manage the rental lifecycle. |
| Inspection and damage evidence | Odometer and fuel readings, checklist answers, dashboard and odometer photos, condition and damage photos, damage type, severity, location, notes, timestamps and verification status. | To document vehicle condition before, during and after a rental and create evidence reports. |
| Agreements and reports | Rental conditions, typed signatures, signature timestamps, agreement status, inspection PDFs and signed agreement PDFs. | To record user confirmations and provide a report shared with the relevant host and driver. |
| Technical and security data | Request timestamps, object keys, record identifiers, session information, IP address and limited server or error logs. | To deliver files, maintain security, diagnose failures, prevent misuse and protect accounts. |
We do not currently use third-party advertising SDKs or third-party behavioural analytics in the VehicleProof mobile app. We do not sell personal information and do not share it for cross-context behavioural advertising.
3. How we collect information
- From you: when you sign in, complete a profile, list a vehicle, request or manage a booking, perform an inspection, upload media, sign an agreement or contact support.
- From your authentication provider: Apple provides the identifier and any name or email you choose to share through Sign in with Apple. Apple may provide a private relay email.
- From another VehicleProof user: a host or driver may provide booking, inspection, agreement or return information connected to a rental involving you.
- Automatically: our infrastructure processes limited network, request and security information when the app communicates with the service.
4. How we use information
We use personal information to:
- authenticate users and maintain account sessions;
- provide Host and Driver profiles and host-code connections;
- list vehicles and process booking requests, approvals, cancellations and returns;
- share relevant driver information with the host for a requested or active booking;
- capture inspections, damage evidence, signatures and rental terms;
- create, store and deliver inspection and agreement PDFs;
- provide support, investigate disputes and respond to safety or security concerns;
- detect fraud, unauthorised access, duplicate records and misuse;
- maintain, troubleshoot and improve the reliability of VehicleProof; and
- comply with applicable law and enforce our terms.
Where consent is the applicable basis for processing, you may withdraw it. Withdrawal does not affect processing already completed and may prevent features that require the information from working.
5. How information is shared
Hosts and drivers
Information required for a requested or active rental is shared between the relevant host and driver. This may include profile and contact details, driver licence information, vehicle records, booking status, inspection evidence, damage records, signatures, agreement terms and reports. VehicleProof does not intentionally make this information available to unrelated users.
Service providers
We disclose information to providers that host, secure or support VehicleProof only as needed to perform those services. We select providers that commit to privacy and security protections consistent with this policy and applicable requirements.
Legal, safety and business reasons
We may disclose information when reasonably necessary to comply with law, a court order or lawful government request; protect users, the public or our rights; investigate fraud or security incidents; or support a merger, financing, acquisition or sale of the service. A successor would be required to handle personal information consistently with this policy and applicable law.
6. Service providers and storage
- Apple: provides Sign in with Apple authentication. Apple handles information under its own Privacy Policy.
- Cloudflare: operates the VehicleProof API edge service and private R2 object storage for photos and generated PDFs. Cloudflare handles information under its Privacy Policy.
- WordPress backend: our private WordPress installation stores account-linked text records, statuses, identifiers and media object references. Raw app photos and PDFs are stored in private Cloudflare R2 storage rather than the WordPress media library.
Private media is delivered through authenticated, time-limited links. Service-provider privacy notices govern data those providers process independently for their own legal and security obligations.
7. Device permissions
- Camera: used only when you choose to capture vehicle, dashboard, odometer, interior, tyre, inspection, profile or damage photos.
- Photo library: used only when you choose photos to upload or use an app feature that saves a report preview.
You can change permissions in your device settings. VehicleProof does not request access to contacts, precise location or the microphone for its current core workflow. Pickup and contact addresses are entered manually by users.
8. Data retention and account deletion
We retain active account and rental records while your account is in use and for as long as reasonably needed to provide VehicleProof, secure the service, address a dispute or comply with law. Generated inspection PDFs are fixed records: editing a vehicle listing does not change an existing PDF. A redone inspection creates a separate report version.
Delete from the app
In VehicleProof, open Settings > Delete account. After confirmation, the service removes associated host and driver profile details, host codes, vehicles, connections, bookings, inspections, damage records, agreements, signatures, photos, PDFs, audit records and active app sessions from live VehicleProof storage.
Minimal identity record retained after in-app deletion
The current service retains a minimal identity record consisting of the profile name and email supplied by Apple, the internal WordPress user identifier and the Apple identity link. This record is retained for account recognition, security, fraud prevention and to prevent conflicting identity mappings if the same Apple account returns. It is not used for advertising or marketing.
You may request deletion of this minimal identity record through the Account Deletion page. We may retain only information that we are legally required or permitted to keep for security, fraud prevention, dispute resolution or regulatory compliance, and we will tell you if that applies to your request.
Backups and provider logs
Deleted information may remain temporarily in restricted backups or security logs until the applicable backup or log cycle expires. It is not restored to active use except for disaster recovery, security or legal requirements. We delete or de-identify information when it is no longer reasonably needed.
9. Security
We use authenticated sessions, encrypted network transport, role and ownership checks, private object storage, short-lived file links and access controls designed to protect VehicleProof information. No storage or transmission method can be guaranteed completely secure. Keep your device and authentication account secure and contact us promptly if you suspect unauthorised access.
10. International data processing
TechKangaroos is based in Australia. Cloud infrastructure may process or store information in Australia, the United States or other locations where our providers operate. Privacy and data-protection laws may differ between countries. Where required, we take reasonable steps to use providers and safeguards that protect personal information consistently with this policy and applicable law.
11. Your rights and choices
Depending on where you live, you may have rights to:
- request access to personal information we hold about you;
- correct inaccurate, incomplete or outdated information;
- request deletion or restriction of processing;
- object to certain processing or withdraw consent;
- request a portable copy of eligible information; and
- complain to a privacy or data-protection regulator.
Editable profile information can be updated in VehicleProof Settings. The profile name and email received from Apple are read-only in the app; contact us to request correction, access or deletion. We may need to verify your identity before completing a request. We will not discriminate against you for exercising a privacy right.
VehicleProof does not sell personal information and does not share it for cross-context behavioural advertising. Therefore, there is no sale or targeted-advertising opt-out required for the current service.
12. Children
VehicleProof is intended for people with legal capacity to participate in a vehicle rental and is not directed to children under 16. We do not knowingly create accounts for children under 16. Contact us if you believe a child has provided personal information without appropriate authorisation.
13. Changes to this policy
We may update this policy when VehicleProof, our providers or legal requirements change. We will post the revised policy with a new effective date and provide additional notice in the app when a change is material.
